Privacy Policy

How we handle your info and why we actually care about it

Last updated: October 17, 2025

Introduction

Look, we're architects not data miners. But yeah, when you reach out or browse our site, some info gets collected. This policy breaks down what happens with your data - no legal jargon overload, promise.

At Fayndralith Quinth Architecture, we take privacy seriously because we'd want the same respect if roles were reversed. We're based in Toronto, Ontario, so Canadian privacy laws (PIPEDA) apply here, but honestly we'd protect your data regardless of what the law says.

The short version: We only collect what we need, we don't sell your info to anyone, and you can ask us to delete it whenever you want.

Information We Collect

Let's be real about what we're gathering here:

Stuff You Give Us Directly
  • Contact forms: Name, email, phone number, project details - basically whatever you fill out when reaching out
  • Project consultations: Site locations, budget ranges, timeline preferences, design requirements
  • Email correspondence: Any info you share in emails to info@fayndralithquinth.info
  • Phone calls: Details discussed during calls to (416) 555-0247
Stuff That Gets Collected Automatically
  • Website analytics: Pages visited, time spent, how you found us, device type
  • IP addresses: General location info, not down to your exact address though
  • Browser data: Browser type, operating system, referral sources
  • Cookies: Small files that remember your preferences (more on this below)

Note: We don't use any creepy tracking tech or hidden pixels. What you see is what you get.

How We Use Your Information

We're not hoarding your data for fun. Here's what we actually do with it:

Project Communication

Responding to inquiries, sending proposals, discussing design concepts, scheduling site visits

Service Delivery

Creating designs, managing projects, coordinating with contractors, handling permits

Website Improvement

Understanding which projects interest people, fixing broken pages, improving navigation

Legal Stuff

Meeting professional obligations, maintaining records for liability purposes, tax documentation

We might occasionally send updates about completed projects or sustainability initiatives we think you'd genuinely care about. But we're not gonna spam you - we barely have time to update our own Instagram.

Who We Share Data With

Short answer: almost nobody. Long answer:

We DO Share With:
  • Project collaborators: Engineers, contractors, consultants who need info to do their part of your project
  • Legal requirements: If a court order or government agency legally requires it (hasn't happened yet, knock on wood)
  • Service providers: Website hosting, email services, cloud storage - but only what's necessary and under strict agreements
  • Professional bodies: Ontario Association of Architects when required for licensing or complaints
We DON'T Share With:
  • Marketing companies or data brokers
  • Social media platforms (unless you explicitly share something)
  • Other architectural firms
  • Anyone offering to "buy your data" - that's just weird
Portfolio exception: If we feature your project in our portfolio, we'll ask for explicit permission first. You can say no, and we'll respect that.

Cookies & Tracking

Yeah, we use cookies. Not the chocolate chip kind, unfortunately.

Cookie Type Purpose Can You Opt Out?
Essential Make the site actually work - navigation, forms, security Not really, site won't function
Analytics See which pages people visit, find broken links Yes, through browser settings
Preferences Remember your settings, language choices Yes, but you'll reset each visit

Most browsers let you block cookies, but heads up - some site features might get wonky. There's usually a settings menu where you can manage this stuff.

Data Security

We're not cybersecurity experts, but we take reasonable precautions:

🔒
Encryption

SSL certificates for data transmission, encrypted storage for sensitive files

💻
Access Control

Only team members who need access get it, password-protected systems

💾
Regular Backups

Automatic backups so data doesn't disappear if something crashes

Real talk though - no system is 100% hack-proof. We do our best, but if there's ever a breach, we'll let you know ASAP and tell you what happened and what we're doing about it.

Your Privacy Rights

Under Canadian law (and just basic decency), you've got rights. Here's what you can do:

Ask us what info we have about you. We'll send you a copy within 30 days, usually faster.

If something's wrong or outdated, let us know and we'll fix it. We want accurate info anyway.

Want us to delete your info? We will, unless we legally have to keep it (like for tax records or active projects).

Don't want emails from us? There's an unsubscribe link in every message, or just reply and ask.

Need your data in a readable format to move to another firm? We can export it for you.

Think we're mishandling your data? Contact the Office of the Privacy Commissioner of Canada. We'd rather you talk to us first though so we can fix it.

How Long We Keep Your Data

We don't keep stuff forever. Here's the general timeline:

  • Inquiry emails: About 2 years if no project happens
  • Active project data: Duration of project plus 10 years (professional liability requirements)
  • Completed project records: 10 years minimum for legal/insurance purposes
  • Financial records: 7 years (tax law requirement)
  • Website analytics: 26 months, then gets deleted
  • Marketing contacts: Until you unsubscribe or we haven't heard from you in 3 years

When we delete data, we actually delete it - not just hide it. Unless there's a legal hold or ongoing dispute, then we gotta keep it.

Third-Party Links

Sometimes we link to other websites - suppliers, building code resources, sustainability organizations, whatever. We don't control their privacy practices, so read their policies if you're worried.

If we embed content from other sites (like a YouTube video or Google Map), those companies might track you. We try to minimize this but can't eliminate it entirely.

Children's Privacy

Our services aren't for kids. We don't knowingly collect info from anyone under 18. If you're a parent and think your kid somehow gave us their info, let us know and we'll delete it immediately.

Changes to This Policy

Privacy laws change, our practices evolve, technology gets weirder - so we might update this policy occasionally. If we make big changes, we'll post a notice on our homepage and update the "last updated" date at the top.

For major changes that affect how we use your data, we'll email you if we have your address. Continuing to use our services after changes means you're cool with them.
